JOB SUMMARY
The Property Management Administrative Assistant/Receptionist is a member of the Mt Bachelor Property Management team and is responsible for interacting with residents and vendors.
This includes resident-facing customer service, administrative operations, property visits and general support of the office.
This is an in-office position.
ESSENTIAL FUNCTIONS
* Responsible for maintaining a high degree of customer service and competency level in all resident interactions; phone or email, formal written communication or in person.
* process mail that is delivered daily
* Answering and directing phone calls
* Assigning emails
* Assisting callers prior to transferring calls
* Assist in updating and adding vendor information
* respond to rental inquries
* show properties to qualified applicants
* greet tenants on move in day to give access
* Forward HOA information/ alerts to tenants as needed
* Assist in auditing property information by following up with tenants and vendors
* General data entry
* review application- verifying income, retrieving rental references, running background/ credit, etc.
* Update and monitor rental listing
* Other duties as requested by office manager
QUALIFICATIONS
* Property Management, Community Manager, or Real Estate Assistant experience is preferred.
* Ability to build and maintain positive relationships internally and externally.
* Projects confidence in interacting with residents and always displays professional presence.
* Ability to thrive in a dynamic, fast-changing, growth environment.
* Honest, ethical, and able to maintain confidentiality in a business setting.
* Interacts productively in person and through technology with co-workers, team members.
* Excellent oral and written communication skills.
* Ability to comfortably navigate new technology and tech savvy
* Previous use of Appfolio software a plus.
* Must have a valid Driver’s License.
