ABOUT THE JOB Deschutes County is accepting applications for a Records Specialist for the Deschutes County Sheriff's Office.
This position performs highly responsible and specialized administrative support.
Duties include typing, filing, and maintaining records in compliance with all state and federal requirements; creating, editing, and processing memoranda, technical documents, and other communications; receiving, processing, sorting, and distributing a variety of correspondence, deliveries, and mail; providing information and assistance to internal and external customers; responding to requests for information and resolving problems within the scope of authority; routing phone calls to appropriate departments, divisions, or resources, utilizing multi-line phone systems; processing customer requests and transactions, receiving payments, completing necessary forms, and determining and assessing fees; entering and maintaining information in databases, verifying accuracy of information, preparing reports, and filing documents; and routinely assisting and directing customers from the reception desk.
This position is responsible for handling sensitive information and maintaining confidential/secure data.
Incumbent will provide customer service to the public over the phone and in person, sometimes under stressful situations.
This position may be assigned to work in Bend, La Pine, or Sisters depending on Sheriff’s Office needs.
Key Responsibilities: Creating and maintaining records in compliance with all state and federal requirements.
Establish and maintain effective working relationships with other employees, other agency staff, and with citizens from varied racial, ethnic, and economic backgrounds.
Provide information and assistance to internal and external customers.
What You Will Bring: Knowledge of or experience with: Techniques for dealing with the public, in person and over the telephone.
Principles and practices of general office administration, file management, accounting/bookkeeping, record keeping, case management and records management.
General office computer systems and applications.
Skill in: Communicating effectively both verbally and in writing.
Entering data and numerical information into a computer system with speed and accuracy, and maintaining electronic records, files, and databases.
Working well under pressure, often with limited supervision.

Minimum Qualifications Three (3) years of progressively responsible administrative and customer service experience; OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the essential functions of the job.
Preferred Qualifications: Law Enforcement Data Systems (LEDS) certification.
Knowledge of administrative procedures associated with law enforcement.
Experience working in the public sector or in a customer service capacity.
Necessary Special Requirements Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date.
The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment).
This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.
Must pass a pre-qualifying driving record review and criminal history background.
A current driver's license and the state of origin are required.

Background Investigation: A successful candidate who receives a conditional job offer will complete a full background investigation and interview.
Must be LEDS certified or have the ability to become LEDS certified within 60 days of hire date.
