An administrative assistant is the supportive force behind both, and we are currently seeking someone exceptional to be in this supportive role.
The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail.
The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to the team.
An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Warranty Coordinator Responsibilities • Be familiar with all policies and procedures pertaining to assigned Manufacturers • Review labor operations and work orders to bill accordingly • Prepare, submit, code, and track repair orders to include warranty repairs and claims according to manufacturer policies.
• Perform other relevant duties as assigned • Prepare, submit, code and track warranty repair orders and claim according to manufacturer policies • Process all warranty tickets and ensure proper documentation and billing requirements required by manufacturer • Reconcile daily and submit any Warranty claim for adjustments or corrections • Excellent attention to detail, accuracy, and timeliness of claims to ensure proper credit and monies due • Build and maintain productive relationships with manufacturers’ designated warranty representatives.
• Review warranty repair orders for completion, accuracy and legibility to ensure compliance with policies and procedures.
• Communicates with the Parts Manager on warranty claim status and pending authorizations.
• Receives and resubmits all rejected claims promptly.
• Reconciles all warranty receivables and works with the accounting department to obtain payments.
Training Coordinator Responsibilities • Leads the employee certification process for all areas to ensure that employees are fully trained according to the manufacturers • Coordinates, monitors, and documents all regulatory training to ensure ongoing compliance • Maintains all employee training records for the company and addresses any delinquent training to ensure completion • Works with area-specific leaders to identify and coordinate training needed and identifies external training vendors who can meet the needs of the organization Planned Maintenance Coordinator • Preparation with accuracy and distribution of Preventative Maintenance Agreements and agreement quotes to customers • Reviewing commercial PM contracts to ensure pricing/ terms are correct Dispatch #2 • Process driven, motivated and have outstanding attention to detail.
• knowing how to read a dashboard and how to dispatch a tech to the next call • Work directly with office manager, customers, technicians, to ensure timely arrivals.
• Provide a level of Customer service that fosters Customer retention and positions the company for growth opportunities.
